The Hidden Cost of Poor Training and How to Fix It with Systems

Cost of new hires

When I first started my business, I’ll be honest. I had no clue about expenses, leadership, or what it really took to build a strong team. We had ridiculously high turnover. By the time I halfway trained someone, they were already putting in their notice.

Not only was it exhausting for me to constantly be hiring, it put pressure on my existing employees too. In the beginning, they gave new hires their best effort. But by the tenth new person, the training looked more like “show them once and hope they figure it out.”

The result?

  • Good new hires got frustrated and left.

  • The sink or swim approach almost always led to sinking.

  • I was burning through cash with Instagram ads, hiring agencies, and the dreaded double-payroll problem (paying a trainer and the trainee).

It wasn’t just stressful, it was expensive.

The Turning Point: Documenting Systems

Fast forward to today, things look a whole lot different.
The game-changer? Documenting my systems and creating an employee training program.

Instead of tossing people into chaos, every new hire now goes through a consistent, step-by-step onboarding process. I built it right out of our employee manual and turned it into an online training program.

Here’s the fun part:
Instead of me recording every single training video (which would have taken forever), I asked my seasoned employees to do it.

That one decision:

  • Saved me hours of time.

  • Gave employees something meaningful to do during slow hours.

  • Let me verify that they were following processes correctly themselves.

Talk about a win-win.

No More Excuses

To make sure things actually stick, I added assessments at the end of each training section. This one move completely eliminated the dreaded:

“But I wasn’t trained on that…”

Now I know every employee gets the same quality of training. No shortcuts. No guessing. No depending on whether your trainer had a good day or a bad day.

The Payoff

  • Lower turnover (because people feel prepared, not thrown to the wolves).

  • Less stress (for me and for my team).

  • Lower expenses (no more wasted money on constant rehiring).

  • Happier employees (because confidence comes from clarity).

The Bottom Line

Training isn’t just about teaching new hires how to do the job. It is about setting up your business to grow without chaos, turnover, and wasted money. When you invest in systems and consistent employee training, you get your time back and your sanity too.
